# Bank feeds: view, categorize and fix every transaction

Bank feeds is the list of every transaction from your connected bank and card accounts. Tabby categorizes each one as it arrives. Your part is smaller: check its work, fix what it got wrong, and deal with the few it couldn't place.

This guide covers everything on the page, from reading a single row to splitting, matching and exporting.

|| Before you start: Bank feeds is empty until you connect an account or upload a statement. See [Bank connections](https://help.usetabby.com/en/category/bank-connections-1id605q/) to set that up.

## A Quick Tour of the Page

Open **Bank feeds** from the left sidebar.

![The Bank feeds page with numbered callouts](https://storage.crisp.chat/users/helpdesk/website/-/8/a/f/c/8afcc30bafd4b000/01-bank-feeds-overview_1wg8mb2.png)
*The Bank feeds page. The numbers match the list below.*

1. **Page actions.** Upload a statement, export what you see to CSV, or connect another account.
2. **Connected accounts.** One card for each account that feeds this page.
3. **Tabby AI status.** How much of your feed is categorized and how many transactions still need you.
4. **Status tabs.** All, Categorized, Excluded and Matched.
5. **Search and Filters.** Narrow the list down.
6. **The transaction table.** One row per transaction. Click a row to open its details.

## Connected accounts

Each card shows the account name, the bank, the last four digits, the balance and when the account last synced. Credit cards show **Balance owed** instead of **Balance**.

![Connected account cards with numbered callouts](https://storage.crisp.chat/users/helpdesk/website/-/8/a/f/c/8afcc30bafd4b000/02-connected-accounts_w2f8r7.png)
*Account cards, expanded to show all five accounts.*

1. **Edit.** Opens the account's settings.
2. **Show or hide the balance.** Balances are hidden by default, which helps when you share your screen. Click the eye to reveal one.
3. **Sync now.** Pulls the latest transactions for that account. When it finishes you'll see a message telling you whether anything new came in.
4. **Show all accounts.** The page shows one row of cards. Click **Show all 5 accounts** (your number will differ) to see the rest, and **Show fewer** to fold them away.

### Edit an account

Click the pencil on a card to open **Update account**.

![The Update account dialog](https://storage.crisp.chat/users/helpdesk/website/-/8/a/f/c/8afcc30bafd4b000/03-update-account_ewvhm7.png)
*Update account controls how the account appears in your books.*

| Field | What it does |
| ---- | ---- |
| Account type | Asset for bank accounts, Liability for credit cards and loans. |
| Sub type | For example Current Asset or Current Liability. |
| General ledger | Bank, Savings or Cash for assets. Credit Card, Line of Credit or Loan for liabilities. |
| Account code | Optional. 3 to 6 digits, such as 1010. |
| Account name | The name you see across Tabby. |
| Used for | **Business only** or **Business & personal**. |
| Opening balance and date | The balance your books start from for this account. |
| Description | An optional note. |

Pick **Business & personal** for any account you also use for personal spending. Mixed accounts get a Personal option when you categorize, so personal spending stays out of your books.

## The Tabby AI status bar

The bar under your accounts tells you where things stand, for example "92% of transactions are categorized. 14 still need a category."

![The Tabby AI status bar and the status tabs](https://storage.crisp.chat/users/helpdesk/website/-/8/a/f/c/8afcc30bafd4b000/04-ai-status-and-tabs_1n5pk8m.png)
*The status bar and the four tabs.*

When some transactions still need a category, a **Review** button appears on the right. It takes you to the [Review](https://app.usetabby.com/approval) page, which is built for clearing those quickly.

## Status tabs

| Tab | What's in it |
| ---- | ---- |
| All | Every transaction. |
| Categorized | Has a category and is in your books. |
| Excluded | Personal or duplicate, kept out of your books. |
| Matched | Linked to an invoice, bill or transfer. |

There is a fifth status, **Pending**, for transactions that don't have a category yet. Pending rows show an orange **Choose category** button. You can handle them right here in the All tab or on the Review page.

![Rows showing the Pending, Categorized and Excluded statuses](https://storage.crisp.chat/users/helpdesk/website/-/8/a/f/c/8afcc30bafd4b000/06-statuses_ok6or9.png)
*Pending rows ask for a category. Excluded rows are greyed out and marked Personal.*

The number next to each tab follows your search and filters, so you can see at a glance how a filtered set breaks down.

## How to read a transaction row

![A transaction row with numbered callouts](https://storage.crisp.chat/users/helpdesk/website/-/8/a/f/c/8afcc30bafd4b000/05-transaction-row_1sq1adp.png)
*Everything in a row can be clicked.*

1. **Checkbox.** Select the row for a bulk action.
2. **Vendor / customer.** Who the money went to or came from. Click the name to change it.
3. **Account.** The bank or card account the transaction came from.
4. **Category.** Click to change it.
5. **Class.** An optional label for tracking a client, project or location. Click to set one.
6. **Status.** Pending, Categorized, Excluded or Matched. A green check next to it means the transaction has been checked.
7. **Amount.** Money in is green with a plus sign. Money out has a minus sign.
8. **Actions.** The three dots open a menu with everything you can do to the row.

### The small marks next to names and categories

Tabby tells you who set each value.

| Mark | Meaning |
| ---- | ---- |
| Sparkle | Set by Tabby AI. Next to a vendor name, it means Tabby read the name from the bank description. |
| Lightning bolt | The category was set by a rule. |
| Person | Set by you or someone on your team. |

Hover over a mark to see the explanation.

## Find the transaction you need

### Search

Type in the search box to match the vendor or customer, category, account, bank description, memo or amount. Press <kbd>/</kbd> anywhere on the page to jump straight to it.

![Searching Bank feeds for "uber"](https://storage.crisp.chat/users/helpdesk/website/-/8/a/f/c/8afcc30bafd4b000/07-search_4383hk.png)
*Searching for "uber". The tab counts update to match.*

### Sort

Click the **Date**, **Vendor / customer** or **Amount** column heading to sort. Click again to reverse the order.

### Filters

Click **Filters** to open the filter panel. Pick a filter on the left, set it on the right, and watch the button at the bottom. It tells you how many transactions will match before you apply anything.

![The Filters panel open on Date](https://storage.crisp.chat/users/helpdesk/website/-/8/a/f/c/8afcc30bafd4b000/08-filters-date_1go8j46.png)
*The Date filter. Pick a preset, type dates, or click a month. Click a first and last month for a range.*

| Filter | Use it to |
| ---- | ---- |
| Date | Choose This month, Last month, Last 30 days, This quarter, This year, Last year, or a custom range. |
| Account | Show one or more accounts. |
| Ledger account | Show one or more categories, including Uncategorized. |
| Description | Match text in the original bank description, such as a store number or reference code. |
| Amount | Money in or money out, with an optional minimum and maximum. |
| Checked | Show only checked or only unchecked transactions. |
| Categorization method | Tabby AI, Rule, Manual, or Not categorized yet. |
| Class | One or more classes, or Unclassified. |
| Source | Bank feed, Added by hand, or CSV import. |

![The Amount filter set to money out of at least 100 dollars](https://storage.crisp.chat/users/helpdesk/website/-/8/a/f/c/8afcc30bafd4b000/09-filters-amount_1hdrq2a.png)
*Two filters are set here: Amount and Categorization method. The button shows 9 matches.*

Click the button at the bottom, here **Show 9 transactions**, to apply. Active filters appear as chips above the table. Click the **x** on a chip to remove that filter, or **Clear all** to remove them all.

![Filter chips above the table](https://storage.crisp.chat/users/helpdesk/website/-/8/a/f/c/8afcc30bafd4b000/10-filter-chips_14hxd1e.png)
*Active filters shown as chips. The Filters button shows how many are on.*

> **Tip:** To review what Tabby did on its own, filter by **Categorization method: Tabby AI** and **Checked: Not checked**. That gives you a list of AI decisions nobody has confirmed yet.

Use **Rows per page** at the bottom of the table to show 10, 25, 50 or 100 rows.

## Categorize a transaction

1. Click the category in the row. For a pending transaction, click **Choose category**.
2. Pick a category from the list, or type to search.

![The category picker open on a pending Uber transaction](https://storage.crisp.chat/users/helpdesk/website/-/8/a/f/c/8afcc30bafd4b000/11-category-picker_1nyaon5.png)
*The category picker. Tabby's suggestion sits at the top.*

When Tabby has an idea, it appears under **Suggested**. Suggestions come from how you categorized the same vendor before, or from the type of merchant.

The picker has two more options above the list:

- **Add new category.** Creates a category on the spot. It joins your chart of accounts and is available everywhere in Tabby. If you typed a name that doesn't exist yet, the button reads **Add "your text"**.
- **Split transaction.** For a transaction that belongs in two or more categories. See [Split a transaction](https://help.usetabby.com/en/article/a-quick-tour-of-the-page-9qh31l/#2-split-a-transaction).

A pending transaction moves to Categorized as soon as you pick a category.

### Apply the same category to similar transactions

After you categorize a transaction, Tabby looks for others that are almost certainly the same kind of spending. If it finds any, it asks whether you want to apply the category to them too.

![The Apply to similar transactions dialog](https://storage.crisp.chat/users/helpdesk/website/-/8/a/f/c/8afcc30bafd4b000/12-apply-to-similar_1cf4odb.png)
*Tabby found five more Uber transactions after one was categorized as Travel.*

- Tick or untick individual transactions. Transactions that already have a category start unticked, so Tabby never overwrites an earlier choice by surprise.
- Click **Apply to 4 more** (your number will differ) to update the ticked ones.
- Click **Only the one I picked** to leave the rest alone.
- Tick **Also categorize new transactions** to create a rule. From then on, new transactions from that vendor get the category as they arrive.

Tabby matches on the vendor name and on the key word in the bank description. The account is only used as a tie breaker. Click **Learn more** in the dialog for a worked example.

![The "How similar transactions work" explainer](https://storage.crisp.chat/users/helpdesk/website/-/8/a/f/c/8afcc30bafd4b000/13-similar-how-it-works_1x3rhp6.png)
*The explainer behind Learn more.*

> **Tip:** If a vendor is sometimes business and sometimes personal, apply to similar without creating a rule, then check that vendor each month.

## Change the vendor or customer

Bank descriptions are messy. Tabby reads them and fills in a clean name, but you can correct it.

1. Click the vendor or customer name in the row.
2. Pick the right name from the list, or type to search.
3. If the name isn't there, click **Add new vendor or customer**, enter the name, and choose **Vendor (you pay them)** or **Customer (they pay you)**.

![The vendor and customer picker](https://storage.crisp.chat/users/helpdesk/website/-/8/a/f/c/8afcc30bafd4b000/14-vendor-picker_u1jjqe.png)
*Each name is labeled Vendor or Customer.*

## Mark a transaction as personal

Personal spending on a business account shouldn't land in your books. To exclude a transaction:

- Click the three dots on the row and choose **Mark as personal**, or
- Open the transaction and set **Business or personal** to **Personal (excluded)**.

The transaction moves to the Excluded tab and its category reads Personal. To bring it back, open the row menu and choose **Include as business**.

If only part of a transaction is personal, split it and mark one part as personal.

## Add a class

Classes let you track income and spending by client, project, location or anything else you set up. Each transaction can have one class.

1. Click the Class cell in the row, or choose **Add class** from the row menu.
2. Pick a class. Sub-classes sit under their parent, for example Clients › Acme Corp.
3. Click **Save**.

![The Class dialog](https://storage.crisp.chat/users/helpdesk/website/-/8/a/f/c/8afcc30bafd4b000/16-class-picker_1eisu81.png)
*Type in the box to search, or to create a class that doesn't exist yet.*

Choose **No class** to remove one. A transaction without a class shows under Unclassified in Profit & Loss by Class. To use more than one class on a transaction, split it and give each part its own class.

## Split a transaction

Use a split when one payment covers more than one thing. A typical case is an internet bill that is 60% business and 40% personal.

1. Open the category picker and click **Split transaction**. You can also choose **Split transaction** from the row menu.
2. Enter an amount and a category for each part. Tick **Mark as personal** for any part that isn't a business expense.
3. Click **Add another split** if you need more than two parts. **Split evenly** divides the total equally.
4. Check the totals at the bottom. **Left to assign** must be $0.00.
5. Click **Save split**.

![The Split transaction dialog](https://storage.crisp.chat/users/helpdesk/website/-/8/a/f/c/8afcc30bafd4b000/22-split-transaction_uj3cdl.png)
*A $189.00 bill split into $113.40 of Utilities and $75.60 of personal spending.*

Each part can carry its own class. Click **Add class** on a split line to set it.

After you save, the row shows **Split** with the number of parts. Click it to edit the split. To undo it, open the row menu and choose **Remove split**. The transaction goes back to the category it had before.

![A row that has been split in two](https://storage.crisp.chat/users/helpdesk/website/-/8/a/f/c/8afcc30bafd4b000/23-split-row_1sz551o.png)
*A split row.*

## Match a transaction

Matching links a bank transaction to something already in your books, so the same money isn't counted twice. A customer payment that lands in your bank should be matched to the invoice it pays, for example. Otherwise you'd record that income once on the invoice and again on the deposit.

1. Click the three dots on the row and choose **Match transaction**.
2. Under **What is it?**, pick the type of record.
3. Select the record on the right. Tabby marks its top pick as **Best match** and tells you why, for example "Exact amount · Same name · 2 days apart".
4. Check the bar at the bottom. It compares the transaction amount with what you selected.
5. Click **Match**.

![The Match transaction dialog](https://storage.crisp.chat/users/helpdesk/website/-/8/a/f/c/8afcc30bafd4b000/24-match-transaction_1xr400v.png)
*A $3,200.00 deposit matched to the open invoice for the same amount.*

The types you see depend on the direction of the money.

| Money in | Money out |
| ---- | ---- |
| Invoice payment | Bill payment |
| Sales receipt | Expense |
| Transfer | Transfer |
| Credit card payment | Credit card payment |

A few rules apply:

- Amounts must be within 5% of each other, such as $100.00 and $98.00.
- Transfers need an opposite amount in another one of your accounts.
- A record that's already matched can't be used again.
- For invoice and bill payments you can select more than one record, which helps when a customer pays several invoices with one transfer.

By default the list only shows records close to the transaction amount. Click the **Close to** chip to turn that off and see everything.

For a partial payment on an invoice, match from the invoice instead. Go to **Sales**, then **Invoices**, open the invoice's menu and choose **Match with bank deposit**. The [Review guide](https://help.usetabby.com/en/category/review-vpqjlv/) has the steps.

A matched transaction moves to the Matched tab. To undo a match, open the row menu and choose **Remove match**.

## The transaction details panel

Click anywhere on a row to open its details on the right.

### Details tab

The top half shows facts from your bank: the account, date, amount, source and the original bank description. You can't edit the amount on a bank transaction, because it comes straight from the bank.

The bottom half is yours to edit:

- **Category**
- **Vendor / customer**, with a switch to say which one it is
- **Business or personal**
- **Class**
- **Memo**, a note for you or your accountant
- **Receipt**. Click **Upload** to attach a photo or PDF, or **Find it** and Tabby looks for a matching receipt in your email.

When you change something, the footer shows **Unsaved changes**. Click **Save changes** to keep the edit or **Discard** to drop it. If you try to leave with unsaved changes, Tabby asks what you want to do.

![The details panel with unsaved changes](https://storage.crisp.chat/users/helpdesk/website/-/8/a/f/c/8afcc30bafd4b000/19-pane-unsaved-changes_1svajud.png)
*A meal on a client trip moved to Travel, with a memo explaining why. Both edits are waiting to be saved.*

On deposits, you may see a box asking whether the deposit includes sales tax. It appears if your business charges sales tax. Click **Split out sales tax** to separate the tax from your revenue.

### Journal entry tab

Shows how the transaction posts to your books, with the debit and credit lines. This is mostly for your accountant. Personal transactions don't post, so the tab shows what would post if you included the transaction as business.

### Activity tab

A history of everything that has happened to the transaction: when it was imported, what Tabby AI did, and every change your team made.

## Mark transactions as checked

Checked means someone on your team has confirmed the category and details. It's a sign-off, separate from the category itself. Checked transactions show a green check next to their status.

You can mark a transaction as checked in three ways:

- In the details panel, click **Mark checked & next**. Tabby marks it and opens the next transaction, which makes it quick to work down a list.
- In the row menu, choose **Mark as checked**.
- Select several rows and click **Mark checked** in the bulk bar.

In the details panel, a pending transaction needs a category before you can mark it checked.

## Work on several transactions at once

Tick the checkbox on two or more rows. A bar appears at the bottom of the screen.

![Three rows selected with the bulk action bar](https://storage.crisp.chat/users/helpdesk/website/-/8/a/f/c/8afcc30bafd4b000/25-bulk-actions_f6qkp6.png)
*The bulk bar with three transactions selected.*

| Button | What it does |
| ---- | ---- |
| Categorize | Sets one category on every selected transaction. |
| Set class | Sets one class on every selected transaction, replacing any class they have. |
| Mark checked | Marks them all as checked. |
| Mark personal | Excludes them all from your books. |
| Trash | Deletes them. |
| X | Clears the selection. |

The checkbox in the table header selects every row on the current page.

## The row menu

Click the three dots at the end of a row.

![The row actions menu](https://storage.crisp.chat/users/helpdesk/website/-/8/a/f/c/8afcc30bafd4b000/15-row-menu_tzof7q.png)
*The row menu.*

- **Open details**
- **Mark as checked** or **Mark as unchecked**
- **Mark as personal** or **Include as business**
- **Match transaction** or **Remove match**
- **Split transaction** or **Remove split**
- **Add class** or **Change class**
- **Ask Tabby Talk about it**
- **Delete transaction**

The menu changes with the state of the row. A matched row offers Remove match, for example.

## Delete a transaction

Choose **Delete transaction** from the row menu, or click the trash icon in the details panel.

![The delete confirmation](https://storage.crisp.chat/users/helpdesk/website/-/8/a/f/c/8afcc30bafd4b000/26-delete-confirm_199647f.png)
*Deleting asks for confirmation.*

Deleting removes the transaction from your books. If it came from your bank feed, Tabby won't import it again.

> **Important:** For personal spending, use **Mark as personal** instead of deleting. The transaction stays out of your books either way, but you keep the record and can bring it back later.

## Export to CSV

Click **Export** at the top of the page. Tabby downloads a CSV of the list as you see it, so the current tab, search and filters all apply. Set your filters first if you only want part of your data.

The file includes the date, vendor or customer, account, category, class, status, whether it's checked, amount, bank description and memo.

## Upload a statement

Click **Upload statement** to import transactions from a PDF, CSV or Excel statement. Use it for banks Plaid can't reach, closed accounts, or history older than your sync.

## Ask Tabby Talk about a transaction

Not sure what a charge is? Choose **Ask Tabby Talk about it** from the row menu, or click the chat icon in the details panel. Tabby Talk opens with the transaction's amount, vendor and date already in your request. See [Tabby Talk](https://app.usetabby.com/tabby-talk?tab=agent) for more.

## Common questions

### A transaction is missing. What should I check?

Click **Sync now** on the account card first. If nothing arrives, open [Bank connections](https://app.usetabby.com/bank-connections) and look for a **Needs attention** label on the bank. An expired bank login stops new transactions until you reconnect. Also check that no search or filter is hiding the transaction. A brand new connection can take up to 24 hours to deliver its first transactions.

### Tabby keeps choosing the wrong category for one vendor

Fix one transaction, then tick **Also categorize new transactions** in the dialog that follows. That creates a rule for the vendor.

### Why can't I change the amount?

Amounts on bank transactions come from your bank and are locked. If a payment covers more than one thing, split it.

### Where did my uncategorized transactions go?

They are still in the All tab with a Pending status. The [Review](https://app.usetabby.com/approval) page lists only those, with Tabby's suggestion next to each one.

### I see the same transaction twice

This usually happens when a statement was uploaded for dates the bank connection had already synced. Delete the duplicate, or delete the uploaded file from the Upload statement page. See [Avoid duplicates](https://app.usetabby.com/bank-connections).

### What's the difference between Categorized and Checked?
${frame}[Review: clear the transactions Tabby couldn't categorize](https://help.usetabby.com/en/category/review-vpqjlv/)

Categorized means the transaction has a category, whether Tabby or a person set it. Checked means a person has looked at it and confirmed it's right.
