Reconcile a bank or card account

This article walks through a bank reconciliation from start to finish, then explains the report you get at the end. You'll find Bank reconciliation under Accounting in the left sidebar.

Bank reconciliation

Reconciling checks that what Tabby has for an account matches your bank statement. You enter the statement's dates and balances, tick each transaction that appears on the statement, and when the difference is $0.00 you're done. Do it monthly, before you close the books.

Tour of the page

The Bank reconciliation page. The numbers match the list below.

  1. Page actions. Reconciliation report, Export and New reconciliation.
  2. Accounts. How far each bank and card account is reconciled, and how many months are waiting. "Never" means the account hasn't been reconciled yet.
  3. Tabs. All, Reconciled, Draft and Force reconciled.
  4. Difference. What was left between the books and the statement. A reconciled statement shows $0.00.
  5. Status. Reconciled, Draft or Force reconciled.
  6. Row menu. View the report, or undo the reconciliation.

Click a finished reconciliation to open its report. Click a draft to continue it.

Step 1: choose the account and enter your statement

Click New reconciliation and choose the Bank or card account. The list shows how far each account is reconciled.

Each account shows when it was last reconciled.

Then give Tabby the statement's details.

The statement details, filled in from an uploaded PDF.

  1. Account. The line under it shows the date and balance of the last reconciliation.
  2. Upload statement PDF. Tabby reads the statement dates and balances for you.
  3. Enter details manually. Or type the statement start date, end date, opening balance and ending balance yourself.
  4. Steps. Statement, Match transactions, Review.

The opening balance is filled in from your last reconciliation. For an account's first reconciliation, take it from the top of your statement. Check the numbers against the statement, then click Continue.

Note: A statement can't end in the future, and it can't start inside a period you've already reconciled.

Step 2: tick the transactions on your statement

Eight of eleven transactions ticked, with $189.00 still to find.

  1. Balances. The statement ending balance, less the cleared balance of what you've ticked.
  2. Difference. What's left. It turns green at $0.00.
  3. Filter. Show all transactions, only deposits or only withdrawals.
  4. Tick all. Ticks every transaction shown.
  5. Earlier. A transaction dated before this statement that hasn't cleared a previous one.

Go down your statement and tick each transaction you see on it. Leave anything that isn't on the statement unticked. It carries over to the next reconciliation.

When everything on the statement is ticked, the difference reaches $0.00.

Ready to reconcile.

Click Review. To stop and come back later, click Save draft.

Step 3: review and finish

The books match the statement.

The review lists the opening balance, the deposits and withdrawals you cleared, the cleared balance, the statement ending balance and the difference.

Click Finish reconciliation. Finishing locks the ticked transactions as reconciled, so they can't be changed by accident, and opens the Reconciliation Report for the statement.

When there's a difference

If the difference isn't $0.00, the review tells you so.

The books don't match the statement yet.

Click Back to matching and look for:

  • A transaction on the statement that you haven't ticked.
  • A transaction ticked by mistake, or entered twice.
  • A typo in the opening or ending balance.
  • A transaction that's on the statement but missing from Tabby. Save a draft, record the transaction, then continue the reconciliation.

Force a reconciliation

If you can't find the difference, you can force the reconciliation. Click Force reconcile and confirm.

Forcing posts the difference as a journal entry.

Tabby posts a journal entry for the difference to an account called Reconciliation Discrepancies, so the account matches the statement. The reconciliation is marked Force reconciled and the entry appears in Journal entries, labeled as coming from a reconciliation.

Important: Use this as a last resort. Your accountant may ask about a forced difference, and a large one usually means a transaction is missing or duplicated.

Save a draft and continue later

Save draft keeps your ticks and statement details. The reconciliation appears in the list as a Draft. Click it, or choose Continue in its row menu, to pick up where you left off. Delete draft removes it.

If you close a reconciliation with unsaved progress, Tabby asks whether to save a draft or discard it.

Undo a reconciliation

Open the row menu for an account's most recent reconciliation and choose Undo reconciliation.

Only the latest reconciliation for an account can be undone.

Its transactions become editable again and the reconciliation goes back to draft. If the reconciliation was forced, the adjustment entry stays. Delete it from Journal entries if you no longer need it.

Reconciliation Report

The Reconciliation Report shows the result of a reconciliation, or where an account stands on any date. Open it with Reconciliation report on the Bank reconciliation page, with View report in a row menu, or from the Banking group on the Reports page.

Statement snapshot

The snapshot for a finished reconciliation.

  1. View. Statement snapshot, or As of date. Choose the account on the left and the reconciliation on the right.
  2. Result. Whether the books matched the statement, when it was completed, by whom, and the statement file.
  3. Statement summary. The beginning balance, the payments and deposits that cleared, the cleared balance, the statement ending balance and the difference.
  4. Register balance. Your books, as opposed to the statement: the balance at the statement date, items that hadn't cleared, and what's been recorded since.
  5. Detail. Every cleared payment and deposit, the uncleared ones, and new transactions after the statement date.
  6. Print / PDF and Export CSV. Save or share the report.

A snapshot is saved when the reconciliation is completed. Later edits to your books don't change its figures, which makes it the version to hand to your accountant.

As of date

Switch to As of date to see where an account stands on any day, between reconciliations. Pick the Report date at the top.

A live summary of the account today.

The Bank reconciliation summary starts from the balance in Tabby, adds outstanding payments, takes off outstanding deposits and adds bank lines still waiting for review. The result is the balance your bank should show.

To check it, type the balance from your online banking into Balance from your bank. Tabby tells you whether the two match and, if they don't, by how much.

The sections underneath list what explains the gap:

  • Outstanding payments. Entered in Tabby but not on the statement, usually checks that haven't cleared.
  • Outstanding deposits. Entered in Tabby but not on the statement, usually deposits in transit.
  • Unreconciled bank statement lines. On the statement, waiting for you to review them in Tabby.
  • Recorded but not reconciled yet. Transactions since the last reconciliation, which you'll tick off in the next one.

Reconciliation status shows when the account was last reconciled, with a Reconcile now button.

This view is live. It updates as transactions sync.

Common questions

How often should I reconcile?

Once a month for each bank and card account, when the statement arrives. The boxes at the top of the Bank reconciliation page show how many months each account is behind.

The difference won't go to zero

Check the opening and ending balances for a typo first. Then look for a transaction that's on the statement but unticked, ticked but not on the statement, or missing from Tabby. Forcing the reconciliation is the last resort.
