Sales overview: see what you billed and who owes you

The Sales module is where you bill customers and track what they owe you. You send estimates and invoices, record the payments that come in, and keep one list of the customers and items you bill for.

This article introduces the module and its dashboard, the Sales overview.

Sales at a glance

Where to find it

Open Sales in the left sidebar. The group expands to show eight pages. The number next to Invoices is how many invoices are overdue.

Payments received

See every payment recorded against an invoice, and where it came from.

Invoice, estimate or sales receipt?

Use an estimate when the customer hasn't agreed to the price yet. Use an invoice when the work is agreed and the customer will pay later. Use a sales receipt when the customer has already paid, for example at the counter or by card on the day.

Sales overview

The overview is a dashboard for money coming in. Nothing on it changes your books. It reads from your invoices and payments and points you to what needs attention.

Tour of the page

The top of the Sales overview. The numbers match the list below.

  1. New estimate and New invoice. Start a document without leaving the page.
  2. Ask box. Send a question about your sales to Tabby Talk. The chips under it are ready-made questions.
  3. Period. Sets the date range for the numbers and charts below.
  4. Key numbers. Invoiced, Collected, Outstanding, and Avg. days to get paid.
  5. Insight. One sentence about the thing most worth acting on, with a button to act on it.
  6. Invoiced and collected. Billing and cash received, period by period.
  7. Who owes you. Open invoices by age, and the overdue ones by name.

Choose a period

Pick This month, Last month, This quarter, This year or Last year. For anything else, click Custom and enter a From and To date. The text beside the buttons shows the exact dates in use and the earlier period Tabby compares against.

The period, the four key numbers and the insight.

Read the key numbers

Number

What it tells you

Invoiced

The total you billed in the period, with the change against the prior period.

Collected

The payments you received in the period.

Outstanding

What customers owe you today, with how many invoices are overdue and how much is past due. This one ignores the period.

Avg. days to get paid

How long customers take to pay, on average.

Invoiced and collected chart

Each period gets two bars: what you invoiced and what you collected. The current month is shown lighter because it isn't finished. Switch from Chart to Table to read the same figures as numbers, with the count of invoices for each month.

Table view lists the same figures month by month. Scroll inside the table for later months.

Who owes you and reminders

The bar at the top splits your open invoices into Not due yet, 1–30 days late, 31–60 days late and Over 60 days late. Under it, the Overdue list names each late invoice.

  • Click Remind on a row to send that customer a reminder. The button changes to Sent.
  • Click Remind all, or Send reminders in the insight above, to remind every overdue customer at once.
  • Click Invoices to open the full invoice list.

TechCorp has been reminded. Two more overdue invoices are waiting.

Top customers, products and getting paid

Scroll down for three breakdowns of the same period.

The lower half of the overview.

  1. Top customers. Your five largest customers by amount invoiced, each with its share and the change against the prior period. The arrow opens Customers.
  2. Sales by product or service. Which items bring in the most. The arrow opens Products & services.
  3. Getting paid. The cash you can expect in the next 30 days, the number of invoices sent, the share paid on time and your average invoice. The bar shows how much of the period's invoicing has been collected.
  4. Latest invoices. Your most recent invoices. Filter by Unpaid, Overdue, Paid or Draft, click a row to open the invoice, or click View all for the full list.

Ask Tabby Talk about sales

Type a question in the ask box, such as "which clients pay late?", and press Enter. Tabby Talk opens with your question. The chips do the same thing with one click: Chase overdue invoices, Who pays late?, Cash coming in next 30 days and Set up a recurring invoice. See Tabby Talk for how tasks and credits work.

Common questions

What's the difference between an invoice and a sales receipt?

An invoice asks for payment later and stays open until it's paid. A sales receipt records a sale that was paid at the time.
