Resolve transactions in Review

Every transaction in Review needs one decision from you. This article covers each way to make it: accept what Tabby suggests, pick something else, match a payment to an invoice, or mark the spending as personal.

Accept a suggestion

If the suggested category is right, click the chip. That's the whole step.

The row leaves the queue and a message appears at the bottom of the screen, such as "Delta Airlines categorized as Travel and moved to Reviewed".

After accepting a suggestion.

  1. Progress. Once you've resolved something, the page shows how many you've done this session and a progress bar.
  2. Undo. Click Undo in the message to put the transaction straight back in the queue. The message disappears after a few seconds.

When Tabby finds similar transactions

After you accept or choose a category, Tabby checks for other transactions from the same vendor. If it finds any, it offers to apply the category to them too.

Untick anything that doesn't belong, then click Apply to 4 more (your number will differ). Tick Also categorize new transactions if you want a rule that handles this vendor automatically from now on. Click Only the one I picked to skip. The Bank feeds guide covers this dialog in more detail under Apply the same category to similar transactions.

Accept every suggestion at once

When you trust the suggestions, clear them in one go.

  1. Click Accept suggestions at the top right. The button shows how many category suggestions are waiting.
  2. Read the list. Each line shows a vendor and the category it will get.
  3. Click Accept all.

Check the list before you accept.

You can undo or change any of them afterwards from the Reviewed tab.

Note: Accept all covers category suggestions only. Match suggestions are left in the queue, because linking a payment to an invoice is something you should confirm one at a time.

Choose a different category

If Tabby's suggestion is wrong, or there isn't one:

  1. Click Choose category on the row.
  2. Pick a category, or type to search.

The same category picker you see in Bank feeds.

From the picker you can also add a new category or split the transaction across several categories. Both are explained in the Bank feeds guide.

Match a payment to an invoice

When the chip says Match INV-…, click it. The Match transaction dialog opens with that invoice already selected.

The invoice Tabby suggested is ticked. The bar at the bottom confirms the amounts match.

Check the invoice and the amounts, then click Match. Tabby records the payment on the invoice, links the deposit to it, and moves the transaction to Reviewed with a Matched result.

If the suggested invoice isn't the right one, untick it and choose another. The Match button turns on when the amounts are within 5% of each other. To match to something other than an invoice, pick a different type under What is it?, such as a transfer between your accounts. You can open the same dialog on any row from the row menu with Match transaction. See Match a transaction for the matching rules.

When the deposit is a partial payment

If a customer paid only part of an invoice, the deposit and the invoice balance are too far apart to match from this dialog, and the Match button stays off. Record the payment from the invoice instead:

  1. Go to Sales, then Invoices.
  2. Click the three dots on the invoice and choose Match with bank deposit.
  3. Select the deposit. Tabby tells you how much less it is than the invoice.
  4. Click Record $900.00 as a partial payment (with your amount). The payment field drops to the deposit amount and a note shows how much stays due.
  5. Click Match and record payment.

A $900.00 deposit recorded against an $1,800.00 invoice. The other $900.00 stays due.

The deposit leaves the Review queue as Matched, and the invoice stays open for the rest.

Mark a transaction as personal

  1. Click the three dots at the end of the row.
  2. Choose Mark as personal.

The row menu.

The transaction is excluded from your books and moves to Reviewed with a Personal result.

The row menu has a few more options:

Menu item

What it does

Mark as business…

Opens the category picker.

Mark as personal

Excludes the transaction from your books.

Match transaction

Opens the Match transaction dialog.

Open details

Opens the transaction details panel.

Ask Tabby Talk about it

Sends the transaction to Tabby Talk.

Delete transaction

Removes it from your books. If it came from your bank feed, Tabby won't import it again.

Work on several transactions at once

Tick the checkbox on each row you want to handle together. A bar appears at the bottom of the screen.

Four transactions selected.

  • Accept suggestions applies Tabby's category to each selected row that has one. The button tells you how many that is.
  • Categorize sets one category on all of them.
  • Mark personal excludes all of them.
  • The trash icon deletes them, and the x clears the selection.

The checkbox in the table header selects the whole queue.

Common questions

The deposit is a partial payment. What should I do?

Match it from the invoice. Go to Sales, then Invoices, open the invoice's menu and choose Match with bank deposit. The steps are under When the deposit is a partial payment.

Can I delete a transaction instead of categorizing it?

You can, from the row menu. For personal spending, Mark as personal is the better choice because it keeps the record.
